Privacy Policy
THEPRINT.NINJA LTD ("we", "us", "our") is committed to protecting your personal information and your right to privacy. This policy explains what we collect, why we collect it, how we use it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
THEPRINT.NINJA LTD is a company registered in England and Wales. Our registered office is Unit 3 Charter House, Dawlish Business Park, Dawlish, Devon EX7 0NH. We are the data controller for the personal information we hold about you. You can reach our data protection contact at hello@theprint.ninja or 0333 023 0003.
2. Information we collect
When you register a product warranty or contact us, we may collect: your name, email address, postal address, phone number, the Amazon order reference and ASIN of the product purchased, the company name and job role (if registering on behalf of a business), the sector you operate in, optional product feedback or rating, and any free-text comments you provide. We also collect technical data automatically, such as your IP address, device type and browser, in order to maintain the security and performance of the website.
3. Why we use your information (lawful basis)
We process personal data on the following lawful bases under Article 6 of the UK GDPR. We rely on contract to administer your warranty registration and provide warranty services. We rely on legitimate interests to investigate product issues, improve our products, prevent fraud and defend legal claims. We rely on legal obligation where we are required to retain records for tax, accounting or consumer protection purposes. We rely on your consent for any marketing communications, which you can withdraw at any time.
4. Marketing
We will only send you marketing emails if you have opted in during warranty registration or otherwise given clear consent. Every marketing email contains a one-click unsubscribe link, and you can also opt out at any time by emailing hello@theprint.ninja. Withdrawing consent does not affect the lawfulness of any processing carried out before you withdrew it.
5. Sharing your information
We do not sell your personal data. We share information only with carefully selected providers who help us run our business: our website hosting and email delivery providers, our payment processor (where applicable), our courier and fulfilment partners, and our accountants. All processors act on our written instructions and are bound by appropriate data protection terms. We may also disclose information where required by law, by a court order, or to protect our rights and property.
6. International transfers
Some of our service providers operate outside the United Kingdom. Where personal data is transferred outside the UK, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to countries the UK Government has formally recognised as offering an adequate level of protection.
7. How long we keep your information
Warranty records are retained for the lifetime of the product warranty plus six years to align with the limitation period under the Limitation Act 1980. Marketing data is retained until you unsubscribe or after 24 months of inactivity, whichever is sooner. Accounting records are retained for at least six years as required by HMRC.
8. Security
We use appropriate technical and organisational measures to protect your data, including TLS encryption in transit, restricted administrative access, hashed passwords, and regular backups. No transmission over the internet can ever be guaranteed completely secure, but we work to industry-standard practices.
9. Your rights
Under the UK GDPR you have the right to access the personal data we hold about you, to ask us to correct inaccurate data, to ask us to erase your data, to restrict or object to processing, to data portability, and to withdraw consent at any time. You also have the right to object to direct marketing. To exercise any of these rights, please email hello@theprint.ninja. We will respond within one calendar month.
10. Cookies
This website uses only the cookies strictly necessary for the site to function (for example, your accessibility preferences and session state). We do not use advertising or third-party tracking cookies on this warranty registration system.
11. Complaints
If you are unhappy with how we have handled your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection. The ICO can be contacted at ico.org.uk, by phone on 0303 123 1113, or by post at Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
12. Changes to this policy
We may update this Privacy Policy from time to time. The version date at the top of the page reflects the most recent revision. Material changes will be notified by email where we hold an active marketing consent.
